How to use the Guide Sub calendar

HOW TO ARRANGE YOUR OWN SUBS
**You must have a google account (not a gmail address, just a google account) and be given edit privileges through the PPA admin to use the swap system. If you have not done these steps please do so before trying the steps below **

ALL absences and subs MUST be reported on the calendar. Do not arrange a sub without putting it on the calendar. This way our staff will know who to expect at every class and we will ALSO KNOW WHO TO PAY.  All additions, edits and deletions are monitored by PPA.

SUB POLICY
It is the Guide’s responsibility to arrange their own subs. If you have not been able to find a sub please email Thomas at tskousen@peerymusic.com to make other arrangements. This will result in a $15-$30 penalty depending on your contract.

You can set up email reminders for your subs on the calendar (see right hand side of page after clicking on the event – be sure to click ‘Save changes’ at the bottom left hand side of the screen or reminder will not be sent).

REPORTING AN ABSENCE

For example purposes we will use the student names John and Doug.

To report an absence:

1) login to your google account and click ‘Calendar’ at the top of the page

2) click on ‘Create Event’ at the top left hand corner of the page

3) in the ‘What’ field enter the student name and out with a /. Example: John Out/

4) enter the date and time of the absence in the ‘When’ field

5) IMPORTANT!! Choose ‘PPA Sub List’ in the calendar pull down

6) CLICK SAVE

ENTERING A SUB DATE

When you are subbing for someone:

1) login to your Google account

2) double click on the ‘Out’ spot for which you will be subbing

3) in the ‘What’ field add your name after the ‘Out’ or ‘Vacant’ text (DO NOT ERASE EXISTING TEXT) as: John Out/Doug In

4) IMPORTANT!! Choose ‘PPA Sub List in the calendar pull down
